Privacy Policy

This policy explains what information the Church IT Network (“CITN”, “we”) collects through the CITN Conference website and mobile app (together, the “app”), what we do with it, and when it is shared.
The app exists to run our conferences. We do not:
- Sell or rent your information
- Use it for advertising, or include advertising in the app
- Include third-party analytics or tracking tools
- Track your location or your activity outside the app
- Give your contact details to a conference partner unless you scan their booth code
Information we collect
From your registration
CITN keeps membership and registration records for the organization. When you sign in, the app reads your registration and keeps a copy so it works quickly and offline:
- Name, email address, and the church or organization you’re with
- Your profile photo, if you have one or you upload one
- Whether you are registered for the conference
- T-shirt size, dietary restrictions, and accessibility needs, where you gave them during registration
Dietary restrictions and accessibility needs are used only to cater and accommodate the event. They are visible to conference organizers, not to other attendees.
From using the app
- Sessions you save to your schedule
- Session feedback and ratings you submit, and questions you ask or upvote in session Q&A
- Conference check-in, and whether your badge was printed
- Partner bingo activity: which partner codes you scanned and when, and any achievements or prizes earned
- If you submit or present a session: your proposal, biography, job title, headshot, any links you provide, and messages exchanged with our review team
Technical information
- A notification token for your device, if you turn notifications on, and whether a notification was delivered or opened
- Short-lived sign-in codes and links used to confirm your email address
- Routine server and security logs, which may include your IP address
The mobile app asks for camera access only to scan QR codes for partner bingo and check-in, and photo access only if you choose a profile picture.
How we use it
- Confirming you’re registered, and signing you in
- Showing the schedule, your saved sessions, and your profile
- Conference check-in and printing your badge
- Sending conference notifications — schedule changes, session reminders, announcements, and prize alerts
- Running partner bingo and awarding prizes
- Reviewing session proposals and communicating with presenters
- Understanding attendance and session popularity in aggregate, to plan future conferences
Sharing your details with conference partners
Partner bingo is an optional game. Partners host a booth with a QR code, and scanning codes earns you entries and prizes.
Scanning a partner’s QR code shares your name, email address, and organization with that partner. That is the purpose of the scan, and scanning it is how you agree to it. It is per partner: a partner whose code you never scan receives nothing from us.
If you win a prize that partner is giving away, they are also told that you won it — the drawing is made from the people who scanned their code.
Partners may then contact you about their products or services. Once your details are shared, that partner is responsible for them under their own privacy practices, and we cannot control what they do with them afterwards. If you would rather a partner not have your details, don’t scan their code — you can still visit their booth, and you don’t have to play at all.
Who else can see your information
Other attendees can see your name, organization, and photo in the app, and can see presenters’ public profiles and session details.
Presenters receive the feedback and ratings submitted for their own sessions.
Conference organizers and volunteers can see registration and check-in information as needed to run the event.
Service providers. We rely on a small number of companies to operate the app — for hosting, data storage, email, and delivering notifications to your device. They may only process your information to provide those services to us, and may not use it for their own purposes. We also distribute the app through the Apple and Google app stores, which apply their own privacy terms to the download itself.
We may disclose information if the law requires it, or to protect the safety of attendees.
How long we keep it
Membership and registration records are kept as part of CITN’s ongoing records. Conference activity in the app — saved sessions, feedback, check-in, and bingo history — is kept so we can maintain conference history from year to year. Sign-in codes and links expire within minutes to an hour. You can delete your account at any time, as described below.
Your choices
- Notifications — turn them off at any time in the app or in your device settings
- Partner bingo — taking part is optional, and each scan is your decision
- Your profile — update your details in the app, or ask us to correct your registration record
- Delete your account — in the app, open the More tab and tap Delete Account. This removes your profile and app activity straight away. See deleting your account for exactly what is removed and what is kept
- Access — email us and we will provide a copy of your information, other than records we need to keep for accounting and membership purposes
Security
Information is encrypted while travelling between the app and our servers, and encrypted where it is stored. Access to attendee information is limited to the organizers and volunteers who need it. No system is perfectly secure, so we can’t guarantee absolute security.
Children
The app is intended for conference attendees, who are adults working in or with churches. It is not directed to children under 13, and we do not knowingly collect information from them. If you believe a child has provided information, contact us and we will delete it.
Changes
If we change this policy we will update the date at the top of this page, and note significant changes in the app.
